Your main Orders board tracks whole Orders. A Production board tracks individual line items, so one product can move through its own pipeline while the Order it belongs to stays on the main Orders board.

Production boards are a Pro plan feature, and they only receive work items after you configure and activate them.

Before You Start

  • Production boards require the Pro plan. On the Basic plan you won’t see the Production boards list or any Production board link in the app navigation.
  • Each Production board needs at least two saved stages and at least one saved assignment rule before it can be activated.
  • Routing uses the Shopify product type of each product. Check that the products you want on a Production board have a product type in Shopify. Products without a product type are never routed.

What a Production Board Does

Every new Order still enters your main Orders board. Kanbanify then looks at the Order’s line items:

  • A line item whose Shopify product type matches one of a Production board’s assignment rules gets its own card on that board, in the board’s first stage.
  • A line item that matches no rule, has no product type, or belongs to a paused or not-yet-configured board stays only on the Orders board.
  • The parent Order is never moved to a Production board. You keep whole-order work and line-item work on separate surfaces.

Routing only applies to new Orders: Orders created after the rule was saved. Existing Orders are never re-routed, even when you add new rules or change stages.

Create a Production Board

  1. Open Settings.
  2. In Production boards, choose Create board.
  3. Enter a name and confirm.

The board is created paused, with no stages yet, and its Settings open on Workflow stages. Configure it in this order:

  1. Board name
  2. Workflow stages — add at least two stages. These are the columns that make up that product’s production process.
  3. Assignment rules — choose the Shopify product types that belong to this board.
  4. Card details — decide which details appear on the cards.

Save your changes. Saving does not activate the board: the page tells you the board is still paused, and states which prerequisite is missing.

Assignment Rules

Assignment rules decide which line items belong to a board. They match exact Shopify product types, not SKUs, vendors, or collections.

  • Add product type opens a dialog listing the product types in your Shopify catalog. Choose one, add it to the draft, then save Settings.
  • A product type can belong to one Production board only. Kanbanify refuses a rule that another board already uses.
  • Existing rules still display when the board is paused or when a catalog type was removed, but a removed type can no longer be added.

Activate the Board

When the board has at least two saved stages and at least one saved assignment rule, use Activate in the page navigation bar.

A Production board receives new line items only when all of these are true:

  • the board is Active;
  • the line item’s product type matches one of its saved rules;
  • the parent Order is a new Order created after the rules were saved.

Saving or discarding other Settings changes is required before activation completes. Activation never moves work that is already placed.

Read a Line-Item Card

Each card represents one line item:

  • the parent Order name sits on the card’s top rail, with the Order’s own stage next to it;
  • the Order’s payment and fulfillment statuses appear under the rail, so you keep the order context without leaving the board;
  • card details follow the board’s Card details settings for customer, line items, and vendor details.

Move a Line Item

Only that line item moves. The rest of the Order, and the parent Order itself, stay where they are.

  • Drag the handle on the card into another column, or press and hold on a touchscreen.
  • Keyboard: focus the card’s handle and press Enter, use the arrow keys to reach a stage, press Enter to save, or Escape to cancel.
  • Move control: use the move action at the bottom of the card to pick a stage from a list. Stages appear as the board finishes loading them.

Cards in a column are ordered by when the line item arrived, newest first by default.

Search Items On A Production Board

Use the search field above the board to find items by order number, customer, product, or vendor.

  • While a search is active, the board columns are replaced by one results list (a side panel beside the board on a wide screen). Each row shows the item, its customer and vendor, its order, and its current stage. On a phone the search field stays at the top while you scroll the list.
  • Select items with their checkboxes, or use select-all above the list. The list shows how many items are selected.
  • Choose Move selected items to stage (the arrow icon beside the selection count), then pick the stage: every selected item moves there. If an item changed in the meantime, Kanbanify does not overwrite the newer change and that row offers a retry.
  • On a wide screen, the button in the results header collapses the panel to a small counter so you can see more of the board; the same button expands it again.
  • Clear the search with the field’s × or Esc to return to the board at the same position. If you cleared it by mistake, use Undo in the confirmation message.
  • The results list shows the first page of matches per stage. If a search is very broad, add more detail to narrow the list.
  • Rows in the results list are read-only: to change one item’s stage on its own, clear the search and move the card on the board.

Open the Order Behind a Card

Select the Order name on a card to open the Order context panel. It shows every line item in that Order, where each one currently is, and what you can do next:

  • Open on Orders board — jump to the parent Order on the main Orders board.
  • Transfer — move this line item to a stage on another Production board.
  • Open a specific item’s board and stage directly.

The panel states when an item is Not routed (it has no Production board placement) and marks the card you opened it from.

Transfers change one line item only and are the correction path when an item lands on the wrong board. A destination that is paused or has fewer than two stages is listed but cannot be selected.

Uncategorized

Uncategorized is a system column that holds line items without a valid stage. It appears when something is in it, and it is where cards go when you delete the stage they were sitting in. Move those cards to a stage to resume the pipeline; you cannot rename or delete the column.

Production boards have no Fulfilled or Completed column.

Pause, Restore, and Delete

  • Pause stops new line items from arriving on the board. Cards already placed stay visible and editable, and the board shows a paused notice.
  • Activate restores incoming work once the board is fully configured again.
  • Delete board is available in the board’s Settings and in the Production boards list. It requires the shop account owner, a paused board, and zero open line items. Deleting removes the board and its assignment rules, keeps archived order history, and cannot be undone.

The Production boards list shows each board’s status (Active, Paused, or Not set up), its assigned product types, its workflow summary, and its open line-item count.

When an Item Leaves the Board

A line-item card leaves its Production board as soon as the parent Order is fulfilled or cancelled. There is no grace period on Production boards, so active columns never hold closed work.

The Order itself stays on the Orders board for its usual recently-fulfilled window, so you keep the recent order history where you coordinate whole Orders.

Why a Line Item Did Not Appear

  • The product has no product type in Shopify, or the type does not exactly match the rule.
  • The board is paused, or it has fewer than two stages or no saved rule.
  • The product type belongs to a different Production board.
  • The Order was created before you saved the rule. Only new Orders are routed.
  • The shop is not on the Pro plan, so Production boards are unavailable.

None of these cases changes the Order: it stays on the main Orders board as ordinary work, and you can still move it between Orders stages there.
